View activity history: who did what at the location

The activity history is a list of all events at your location, with the most recent ones first. You can find it in the menu under Today → Activity timeline (/manager/activity-feed). Organization admins can open the same page under /tenantadmin/activity-feed; in their menu, it's listed under “Management”. The page displays the location selected at the top of the dashboard. It's part of the “Today” menu because it lets you quickly see what's happened most recently. You can't make any decisions here; pending decisions are listed under “Requests” (see “Process requests: Appointments, times, vacation, and devices”).

This page requires the “View Business Data” permission. The menu displays this row to every manager, but without the permission, an error message appears instead of the list.

What's in the list

Each row represents an event from one of four categories:

  • Appointment: what happened with an appointment. For example, the row says “… created an appointment”, “… approved an appointment”, “… rejected an appointment”, “… rescheduled an appointment”, “… canceled an appointment”, “… updated an appointment”, or “… added a note to an appointment” (also “… updated a note on an appointment”). If there's a status change, it says “… changed the status from Confirmed to Completed” along with the actual statuses. Below that, in small print, is the task; otherwise, it's the staff member.
  • Time off: a vacation or absence request: “… requested time off”, “… approved a time-off request”, or “… rejected a time-off request”.
  • Time entry: a time tracking entry: “… submitted a time entry”, “… approved,” or “… rejected.”
  • Notification: a message sent by Terminz. The line reads “Notification sent:” followed by the message title.

The columns are “Event”, “Actor” (person with avatar; “System” for system events), “Status” (Pending, Approved, Rejected, Created, Canceled, Updated, Rescheduled), and “Timestamp” with the time and “3 hours ago.” Column “Actor” is missing on mobile devices. As long as the list is sorted by time, day headers separate the list: “Today”, “Yesterday”, followed by the full date.

Who is the actor? For appointments, it's the person who made the change; for a requested vacation or a submitted time entry, it's the person who submitted it. For an approved vacation or time entry, it's the person who approved it, along with the time of the decision. For a rejected vacation, it's the person who rejected it. Terminz does not record who rejected a time entry; therefore, it displays “System”.

A request appears only once. Leave requests and time entries are displayed in their current status, not with every intermediate step. An open request is marked as “Pending” with the date of the request. As soon as you've made a decision, the same row changes to “Approved” or “Rejected” with the time of your decision. After that, you can only see who submitted a request and when in the request itself.

Filter, Search, Sort

  • Search: searches by the actor's name, the title of a notification, and the text of a notification. You won't find anything here based on a customer's name associated with an appointment.
  • Filter by category: selects one or more of the four categories.
  • Date range: two days at the location, from and to.
  • Sort: by “Timestamp” (default, newest first) or by category using column “Event”. When sorted by category, the day headers disappear.

The list loads page by page. The status of the search, filter, and page is included in the URL and remains the same when you reload the page.

Event Details

Clicking on a row, or on the three-dot menu View details, opens “Event details”. The window displays the event record, the category, and the status, followed by a list showing the participant; for appointments, it also includes the appointment details (day of the week, date, and time), service, additional services, staff member, and customer, along with details if applicable, and always the timestamp. If the status changes, the old status appears crossed out before the new one.

For appointments, there is a link Open in calendar at the bottom. It takes you to page “Appointments”, not directly to that specific appointment.

Export as CSV

Check the boxes on the left next to the rows you need and select Export CSV. The file activity-feed-….csv contains columns “Category”, “Timestamp”, “Actor”, “Description”, and “Status”. It includes only the selected rows from the page you're currently viewing, not the entire history.

Frequently Asked Questions

Where can I see who changed an appointment? In the activity history, category “Appointment”. The “Actor” is the person who made the change.

Where do I approve a pending vacation request? Not here. The history only shows that a request exists. You can approve it under Today → Requests, tab “Time off”.

Why does a rejected time entry say “System”? Terminz does not record who rejected a time entry when it is rejected.

Can I delete or edit the history? No, the page is read-only.

Does this page apply to all my locations? No, only to the location selected at the top of the dashboard.
