A day in the business

  1. 8:40

You unlock the door and there are two cancellations on the answering machine. The waiting list fills the slots before you've finished your first coffee.

  2. 13:15

The mask is working. Twenty minutes in which the room is occupied and you still cannot let anyone in — the calendar knows that.

  3. 18:50

The last client pays cash and wants a receipt. It carries the TSE signature, and the daily closing is one step.

What that looks like in the system

Resource list with rooms, equipment, capacity and maintenance
Chairs, rooms and devices with their capacity — a slot without a free bed is never offered.

What a beauty studio needs and others do not

Five things a general appointment tool gets wrong.

  • Rooms and couches as resources

A booking does not happen when the cabin is occupied, even if the therapist is free. Rooms and couches have their own capacity and their own hours.

  • Devices with a service date

HIFU, IPL or microdermabrasion are bookable resources. Servicing and inspection dates sit on the device, not on a note.

  • Recurring appointments

The client comes every four weeks. You set the series up once, see it in a preview before saving, and cancel a single session without touching the rest.

  • Consent and intake form

The intake form belongs in the client record, not in a binder. Anyone registering themselves via the QR code gives their consent as they do it — on record.

  • Catalogue out of the box

Services, categories, durations and buffers for a beauty studio come pre-configured. You change prices, not the structure.

Common questions

Can I schedule cabins and couches separately?

Yes. Rooms, couches and devices are their own resources with their own capacity. A booking only happens when the therapist and the room are both free.

How do I schedule a client who comes every four weeks?

As a recurring series. You set the rhythm and the number of dates, see every appointment in a preview before anything is saved, and can move or cancel a single session later without touching the series.

Where do intake forms and consent live?

In the client record of your location — not in a binder, and not shared with every other studio. What you note about a client is visible only to your location.

Do I need a separate till system?

No. The till is built in, signs every receipt through a certified TSE and exports in DSFinV-K format. A second system would mean two journals, and an audit wants to see both.

Can I bring my client records across?

Yes, by file. Appointments and names come with you; a client account with a mailbox only exists once the person registers themselves — that is what the QR code on the counter is for.
