Email list: who can receive your promotional emails

The email list shows every address you're allowed to or have chosen to target with promotional emails (campaigns). You can find it in the menu under Marketing & website → Win customers back → Email list (/manager/marketing/opt-ins). It applies to the location selected at the top of the dashboard.

Email marketing is permitted only with consent. Terminz therefore sends campaigns only to addresses with status “Confirmed”. The list shows you who is included and why.

The List

Columns:

  • Email: the email address, sortable.
  • Status: “Pending” (the confirmation email has been sent, but the customer hasn't clicked yet), “Confirmed”, or “Unsubscribed”. Sortable.
  • Legal basis: “Consent” (the customer has given consent themselves) or “Existing customer” (they've made a purchase from you, and you're allowed to promote similar services to them for a limited time).
  • Confirmed at, sortable.
  • Source: where the address came from: “Booking”, “Booking widget”, “Customer account”, “Form”, “Import”, or “Invitation”.
  • Unsubscribed at and Created, both sortable and hidden on mobile devices.

There is a search bar at the top. Select Status (multiple selections allowed) and Legal basis as filters. New entries appear first. The search, filters, and sorting criteria are included in the page's URL.

A campaign only targets entries with status “Confirmed”. For legal basis “Existing customer”, this applies only as long as the last purchase was made within the last two years. Consent does not expire automatically.

Invite to Offers

In the row menu, there is Invite to offers. This sends the customer a confirmation email. Only when the customer taps “Confirm” in the email does “Pending” change to “Confirmed”. You can only initiate the process; you can never confirm it yourself.

This action is only active for “Pending” and only if the entry belongs to a customer. After that, it shows “Invitation sent to …”. If the customer has already opted out or is already registered, it shows “… already objected or is already subscribed” and no email is sent.

You can only invite customers who have provided you with their email address themselves, and only to that exact address.

Importing Emails

In the top right corner, Import emails opens a window. It sends confirmation emails to the addresses you enter. The note there makes it clear: The confirmation email is sent only to your own customers who have provided you with their address themselves—during booking, via the registration link, or at checkout. All other addresses will not receive an email.

Here's how to do it:

  1. Type the addresses into the lines (placeholder “name@example.com”). Pressing Enter creates a new line. Pressing Add row adds one. Pressing the Backspace key on an empty line deletes it.
  2. You can also paste an entire list. Terminz splits it into individual lines at line breaks, commas, and semicolons.
  3. Next to each line is “Valid”, “Invalid”, or “Duplicate”. At the bottom, you'll see how many are valid and how many are invalid or duplicates.
  4. Tap Import …; the number indicates the number of valid addresses. The button is only active if at least one address is valid.

After that, you'll see “Confirmation emails sent” with the number of addresses. If some were skipped (for example, because they had already been invited), that number will be displayed. Addresses that don't belong to any customer who gave them to you personally remain in the window: “These addresses do not belong to a customer who gave them to you. Inviting them would be unsolicited advertising (§ 7 UWG).”

Unsubscribe

In the row menu, Logout unsubscribes an address. Afterward, “… has been unsubscribed.” appears there, and the entry receives the status “Unsubscribed”. It will no longer receive campaigns. For entries that are already unsubscribed, the action is grayed out. Every promotional email also contains an unsubscribe link that customers can use to unsubscribe themselves.

Frequently Asked Questions

Why is someone marked as “Pending”? They haven't replied to the confirmation email yet. Use Invite to offers to resend it.

Can I import a purchased or collected mailing list? No. You can only import addresses from your own customers. All others remain uninvited.

Do walk-in customers receive promotional emails? No. They haven't provided you with an email address.

Why is my campaign reaching fewer people than are on the list? Only “Confirmed” counts, and for “Existing customer”, only if their last purchase was within the last two years.
