Campaigns: Create and send emails to your customers
A campaign is an email sent to customers who have given you their consent to receive it. You can find it in the menu under Marketing & website → Win customers back → Campaigns (/manager/marketing/campaigns). It applies to the location selected at the top of the dashboard.
There are three types. You send a Announcement manually once. Birthday and Win-Back run automatically as soon as you activate them.
The List
The list has the following columns: Name, Type (“Announcement”, “Birthday”, “Win-back”), Status, Action, Clicks, Bookings, Sends, Last Sent, and Created. You can sort by Name, Type, Status, Sends, Last Sent, and Created; there's a search bar at the top. New campaigns appear at the top.
The status is “Draft”, “Active”, “On hold”, “Completed”, “Archived”, or “Sending”. The “Last” column shows an announcement you just sent that is still being delivered.
Columns “Promotion”, “Clicks”, and “Bookings” apply only to campaigns with an attached promotion. “Clicks” counts how many times the button in the email was clicked. “Bookings” counts the visits that were booked via the link and not canceled. Both are simply totals. You cannot see who clicked.
The row menu offers:
- Edit
- Send now (only announcements that haven't been completed yet)
- Enable / pause (only birthday and re-engagement)
- Archive (no confirmation required; after this, the campaign can no longer be edited or activated)
If Send now is grayed out, the reason is listed next to it: “The campaign is being sent right now.”, “The promotion is no longer running. Only a running or scheduled promotion can be sent.”, or “Online booking is off, so the button in the mail would lead nowhere.”
Create a Campaign
- Tap New campaign (
/manager/marketing/campaigns/new) in the upper-right corner. A page with two sections and a preview will open. - Section “General”:
- Campaign name: Required, for your use only; for example, “Summer Skincare Promotion.”
- Campaign type: “Announcement”, “Birthday”, or “Win-Back”. You cannot change the type later.
- Promotion: Only for “Announcement”. Here, you link a current or planned promotion. More on this below.
- Block “Message”:
- Subject: Required. Use the placeholder {first_name} to address the customer by their first name (“Exclusive offer for {first_name}”).
- Message text: Required. Use the buttons First name, Location, and Booking link to insert the placeholders {first_name}, {business_name}, and {booking_link} at the cursor's position. When the email is sent, they will be replaced with actual values.
- Tap Create campaign at the bottom. The button is only active once the name, subject, and text fields are filled in. Tap Cancel to discard everything. A new campaign starts as a draft.
On the right, the preview shows the sender, subject, and text using the example name Maria. If the text contains {booking_link}, a sample link appears below it.
When editing (Edit in the row menu, /manager/marketing/campaigns/<id>/edit, page “Edit campaign”), you can change the name, subject, text, and action. The type remains fixed.
Announcement with Promotion
If you attach a current or scheduled promotion, the email displays the promotional price, the old price, and the end date, along with a button that leads directly to the booking. Terminz fills in the subject and text with a suggestion based on the promotion's name, which you can freely edit. {booking_link} is then the direct booking link for the promotion. It opens the booking form with the promotion's services.
Page “Promotions” has the Send as campaign promotion in its row menu, which opens this page with the promotion preselected (see “Create a promotion for services”).
You can only send an announcement with a promotion as long as the promotion is active or scheduled and online booking is enabled. Otherwise, the corresponding message from the list above will appear.
Sending an Announcement
Send now opens “Send campaign” with the campaign, subject (template), the promotion (if applicable), the number of recipients, and a preview. Below that is the note: “Advertise only your own similar services — no third-party ads. The email goes out immediately and cannot be recalled.” The Send to … button sends it. An announcement is sent out only once. After that, it appears on “Completed”.
Terminz sends a maximum of 500 emails per run and continues until all have been sent.
Who Receives the Email
Only contacts who have given their consent or are considered existing customers—and never anyone who has unsubscribed (see “Email list”). One-time customers haven't provided you with an email address and therefore won't receive the campaign. Every email contains an unsubscribe link.
Birthdays and Re-engagement
Terminz automatically sends both types once a day as long as the campaign is Active. When newly created, they are still drafts. Enable / pause switches between “Active” and “On hold”.
- Birthday: Goes to customers with a recorded birthday who are within two days before or after their birthday, no more than once a year.
- Win-Back: Goes to customers whose last visit was more than 90 days ago, no more than once every 90 days.
Frequently Asked Questions
Can I change or recall a sent announcement? No, the email has already been sent. To send a second round, create a new campaign.
Why isn't “Send now” included in my birthday campaign? It applies only to announcements. You need to activate both the birthday and re-engagement features.
Why isn't a customer receiving the email? They've unsubscribed, haven't given consent, or don't have a registered email address (walk-in customers).
Can I change the type after the fact? No. Create a new campaign and archive the old one.
