Manage the Till App: PINs, Sessions, Log, and Check-in Times

The POS app is the app your team uses at the counter to check in customers and process payments. This page in the dashboard controls who is allowed to log in to the app and how it behaves. You can find it under Settings → Till & payments → Till app (/manager/terminal). The page for the devices themselves is called “Devices & hardware” (see “Manage Devices and Card Readers”).

This page is only available as long as the terminal for that location is turned on. You'll find the Enable terminal toggle in the settings overview (“Settings Overview”). If it's turned off, “Till app” and “Devices & hardware” will be missing from the menu.

What's at the Top

At the top of the page is the name “Till app”. To the right of it, the button “Devices & hardware” takes you to the device page. The question mark next to the title opens the guide “How till access works” with four steps (pair device, PIN, revoke till access; each action has a name). It opens automatically on your first visit.

Below that, a counter bar displays three numbers:

  • Devices online: how many devices are currently accessible out of all registered devices (for example, “1 / 2”).
  • Active PINs: how many people have an active PIN out of all those on the list.
  • Signed in: how many sessions are currently open.

This is followed by sections “Staff PINs”, “Terminal feature”, “Checkout on the terminal”, “Check-in time windows”, and below them, tabs “Sessions” and “Activity log”.

Staff Member PINs

Each person logs into the POS app with their own four-digit PIN. The list “Staff PINs” shows all active staff members and managers at the location. Each row includes the name, email address, and role (“Staff” or “Mgr” for managers), status, number of logins with the date of the last one, and actions.

A person's status:

  • “Active PIN”: The person can log in.
  • “No PIN”: No PIN has been set yet.
  • “PIN disabled”: A PIN exists, but it is disabled.
  • “Access blocked”: The person (staff members only, not managers) is not authorized to use the POS app.

Above the list, the chips “All”, “With PIN”, “Without PIN”, and “Blocked” act as filters, each showing the number of matches. “Refresh” refreshes the list. If no one is on the list, “No staff found. Please add staff first.” appears there.

Set or Change a PIN

  1. Tap Set PIN in the person's row; if they already have a PIN, Change PIN will appear there. In the upper-right corner of the card “Staff PINs”, there is also the Set PIN button without a person.
  2. “Set terminal PIN” opens. If you access it via the button in the top right corner, first select the person (“Select staff member”) in the Staff field. If you access it via the row, the name is already there.
  3. Enter the four-digit number PIN (4 digits) and repeat it in Confirm PIN. Both fields display dots, not the numbers.
  4. Tap Set PIN.

The system checks in this order: person selected (“Please select a staff member”), exactly four digits (“PIN must be exactly 4 digits”), both entries match (“PINs do not match”). The server then verifies the PIN itself: It rejects simple sequences and repetitions, and the person must be working at this location. Terminz stores only a hash of the PIN. Once you've set a PIN, no one can view it—only reset it. A changed PIN takes effect immediately.

After saving, a success message appears, the list reloads, and the activity log shows “PIN set” along with the name of the person to whom the PIN belongs. The person who set the PIN does not save the log.

The form always sends the PIN as a staff member PIN, even for managers in the list.

Actions in the three-dot menu

The menu next to “Set PIN” is available to people with a PIN and to all staff members. It offers:

  • Disable: Disables the PIN (status “PIN disabled”). The person can no longer log in, but the PIN remains saved. Appears only when the PIN is active.
  • Enable: Re-enables a disabled PIN.
  • Block terminal: Completely removes the user from the till app's login and rejects the PIN (status “Access blocked”). The user's dashboard account remains unaffected. For staff members only, not for managers.
  • Allow terminal: Lifts the lock again.

Locking the account does not end sessions that are already open. They end only when you close them in tab “Sessions” using End or revoke the device's token on the device page.

Terminal Function

The Full POS mode switch is located in section “Terminal feature” (“Enable the POS terminal and choose its mode”). Off means: The terminal books and checks in, but does not process payments. The toggle saves immediately, without a save bar. It affects the POS app, checkout in the dashboard, and reports. Without a plan that includes a POS, the toggle is turned off and locked; “Your plan does not include checkout. The terminal runs in booking-only mode until you choose a plan with checkout.” appears there.

To change this, you need the “Add/Configure Terminal Devices” permission.

Till at the Terminal

This section appears only if payment processing is possible in the dashboard and at the terminal. It does not change anything but provides a summary: Under “How the terminal takes payments right now”, you'll find the payment methods (cash, card), whether tips are offered with suggestions (“Tip 10%, 15%” or “No tips”), whether split payments are allowed (“Split payment starting at €5.00” or “No split payment”), and the tax rate (“VAT 19%” or “No VAT (small business)”). The Open checkout settings button takes you to “Checkout & taxes”, where you can change all of this (see “Set Up Till and Taxes”).

If both cash and card are disabled, “The terminal cannot take payments” appears there with a note to enable at least one payment method.

Check-in Time Window

The section “Check-in time windows” specifies “how early and how late your team can check in a customer at the terminal.” You set two numbers, each ranging from 0 to 24 hours:

  • Early window (hours): how many hours before the appointment starts check-in is allowed. The POS app will reject check-ins any earlier than this.
  • Late window (hours): how many hours after the appointment starts check-in is still allowed. This is measured from the start of the appointment, not the end.

Both lines show an example with times that update as you type: “Appointment at 2:00 PM: Check-in is available from 12:00 PM to 4:00 PM.” The default is 2 hours before and 2 hours after the appointment start time.

If both windows are set to 0, the page displays a warning (“With 0 and 0 nobody can check in”): In that case, only the exact start time of the appointment is possible. Set at least one window to one hour.

You can save the change using Save or Discard on the bar at the bottom. Above the block is a button that resets only this section to the default (2 hours before and 2 hours after the appointment start time). It leaves “Full POS mode” and all settings under “Checkout & taxes” unchanged and shows in advance what will be reset.

Sessions

The Sessions tab (showing the number of open sessions) displays “Active terminal sessions”. Columns: “Users”, “Device”, “Status” (“Active” or “Expired”), “IP,” “Started”, and “Expires at” (both sortable). Newest first. Filters: “Date range” and “Status”. There is no search function here.

In the row, End ends the session immediately. For expired sessions, this option is disabled. The user must then log back into the till app with their PIN, provided the account has not been locked. Afterward, “Session terminated” appears in the log.

Activity Log

The Activity log tab (“Terminal activity logs”) shows what has happened in the till app and regarding your access. Columns: “Users”, “Event”, “Device”, “IP,” and “Time”, with the most recent entries first. Filters: “Date range” and “Activity type”.

Events: “Login”, “PIN set”, “PIN deleted”, “PIN disabled”, “PIN enabled”, “Session terminated”, “Device registered”, and “Till access toggled”.

Important to note: Sales, counts, and refunds are attributed to the person logged in at the register. If two people share a PIN, the log can no longer show who did what. Therefore, assign each person their own PIN.

Frequently Asked Questions

Where do I set a PIN for a new staff member? Settings → Till & Payment → Till App, in the row for the person Set PIN. The staff member must first be created under “Staff”.

How do I immediately revoke a staff member's access to the till? In the three-dot menu of the row Block terminal, then in the “Sessions” tab, close the open session with End. Simply locking the account is not enough if the person is currently logged in.

What happens after three incorrect PINs? The person is locked out for five minutes.

Can I view a PIN? No. You can only reset it.

Why is the page missing from the menu? “Enable terminal” is turned off. Turn it back on in the Settings overview.

Why can't I see the lists? You lack the “Add/Configure Terminal Devices” permission. It's located in “Manager permissions”.

As a manager, can I delete a PIN? No. You can deactivate it or replace it with a new one. Only the person themselves—a staff member—can delete it under “Terminal PIN” in their own menu (page “Create, change, and delete your own terminal PIN”). The event “PIN deleted” in the log comes from this.

Where do I set up a receipt printer or cash drawer? There are no fields for this on the Till App page.
