My Profile, Settings, and Security (Account)
Manage your personal details, profile picture, time zone and appearance, and secure your account with a password, passkey, two-factor and device list.
In the dashboard
- Menu
- Settings
- Who
- Any logged-in user for their own account, whether a customer, staff member, manager, tenant admin, or system admin. Works on every plan. The “Settings” tab appears only for customers, managers, and tenant admins.
My Profile, Settings, and Security (Account)
Here you manage your own account, not the location. The location's name, phone number, and address are listed under “Address & contact” and “Profile & branding” (see “Change your address, email, phone number, and social media profiles”).
The page is the same for all roles; only individual sections depend on the role. You can access it via your account at the bottom of the menu (on mobile, in the menu under your name) using the entry Profile. Depending on your role, the path is /manager/profile, /staff/profile, /customer/profile, /tenantadmin/profile, or /systemadmin/profile; /profile redirects to your path. Tenant admins also have the entry Settings (/tenantadmin/settings) in the menu, which opens the same page.
At the top are your role badge (for example, “Managers” or “Tenant admin”) and your avatar. Below that are up to three tabs: Profile, Settings, and Security. By entering ?tab=preferences or ?tab=security after the path, you can open tab “Settings” or “Security” directly. Tab “Settings” is not available to staff members or system admins.
Tab “Profile”
The tab displays several cards; the fields are initially locked.
Profile Picture
The “Profile photo” card lets you upload (“Upload profile photo”) or remove a picture. It must be an image file and may be no larger than 5 MB. Square images with at least the displayed number of pixels are displayed in full and in sharp detail; non-square images are cropped to the center. The image is displayed as a small, round icon throughout Terminz wherever your name appears. If you don't have a profile picture, Terminz displays a custom shape in a color that represents you. Uploading is disabled in a demo account.
Personal Information
To make changes, tap Edit. The save bar will then appear at the bottom with Save and Cancel. Only “Save” submits the changes; “Cancel” restores the previously saved values.
- First name and Last name: your name.
- Display name: displayed in tickets instead of your real name. If left blank, Terminz displays “First Name N.”
- Email: read-only. You cannot change your email address here. There is currently no option to change it yourself.
- Gender: Choose from Male, Female, Not Specified, Diverse, Non-Binary, Genderqueer, Transgender, Agender, and Two-Spirit. Leaving this field blank is allowed.
- Date of birth: A date field. Leaving this field blank is allowed.
- Notes: Free text visible only to you (“Personal notes...”).
Contact Information and Address
Under Contact information, you can manage your Phone numbers. For each number, select the type—Mobile, Home, Work, Fax, or Other—and enter Add phone number to add another. A number like +49 30 1234567 or 0176 1234567 is valid; otherwise, “Invalid phone number” will appear. The X removes a number. The saved list completely replaces the previous numbers.
The Address card has a search field (“Search address”) that fills in the fields, and the fields Street, Nr., Postal code, City, State, and Country. Appointment saves the address only if Street, No., ZIP Code, City, and State are all filled in, and checks the ZIP Code against the selected state.
Role-Based Cards
- Customers also see sections for health, legal, vehicle, and fitness information. These are collapsed and are part of your own profile.
- Managers see “Managed businesses”, the list of locations they manage.
- Staff see “Work information”, which includes their company, work experience, and positions, as well as their availability by day of the week (if entered). This information is maintained by the manager, not by you (see “Create and Edit Staff members”).
- Tenant admins can view “Tenant information”, including the tenant ID.
- System admins can view “Administrator overview”.
Tab “Settings”
This tab does not save immediately. As soon as you make a change, the save bar (“You have unsaved changes”) appears at the bottom with Save and Discard. After saving, Terminz displays “Settings have been saved”.
- Timezone: Select from the supported time zones; the default is Berlin.
- Language: choose one of the languages the dashboard is available in. After Save, the dashboard switches to it right away and remembers it for your account on every device.
- Appearance: The toggle Dark mode takes effect immediately and does not require saving. It applies to this device.
The form does not include other fields recognized by the interface (date and time format, currency, number format, first day of the week, notification channels, accessibility). You do not configure here whether or when you receive emails from a location: Customers manage this on their home page for each location, and promotional emails require consent for each location.
Tab “Security”
At the top, you'll see your last login along with the date and time.
Change Password
Tap Change password. In the first window, enter:
- Current password
- New password (the strength indicator below verifies your entry)
- Confirm new password
The new password must be at least 8 and no more than 128 characters long, and must include one uppercase letter, one lowercase letter, one digit, and one special character. Emojis are not allowed. Send code will not be active until all rules are met and both new passwords match.
Terminz will then send a 6-digit code to your email address. It is valid for 15 minutes. In the second window, enter it at Verification code and type Change password. The button is only active when you've entered exactly 6 characters. After that, all sessions on all devices will be ended, including this one. You'll be redirected to the login page, where you'll sign in with your new password. Below that, you'll see when the password was last changed.
Passkey
The card Passkeys sets up password-less sign-in using Face ID, Windows Hello, or a security key. Add passkey opens a window with an optional Name (optional), such as “MacBook Pro.” Your browser will then prompt you for Face ID, Windows Hello, or the device PIN. Remove passkey removes it; after that, you can no longer sign in with this passkey, but you can add a new one at any time.
Two-Factor Authentication (2FA)
The card displays “2FA is not enabled” or “2FA is enabled”. Turn on 2FA guides you through the setup step by step:
- Connect an authentication app such as Google Authenticator or 1Password: On your computer, scan the QR code; on your phone, open the setup screen with Open in authenticator app. If that doesn't work, enter the key from Copy key manually.
- Enter the 6-digit code from the app. Terminz uses this to verify that the connection is established.
- Save your backup codes. Each code is valid for one use and serves as a replacement for the app if you don't have your phone with you. You can save them using Copy codes or Download codes. Once you close the window, you won't be able to see them anymore.
When 2FA is active, the card shows how many backup codes are left. Regenerate backup codes invalidates the previous ones. Disable 2FA disables two-factor authentication after a prompt; the account is then less secure.
My Devices
The My devices card lists the devices you've used to log in, grouped into “This device”, “Trusted”, “Other devices”, and “Blocked”, along with the number of logins and when they occurred. For each device, you'll find the following options in menu “Device actions”: Trust or Remove trust, Block (you will then no longer be able to log in from this device), and Remove (the next time you log in, it will be treated as a new device). Sign out of all devices ends all sessions, including this one, and prompts you to log in. This is the correct step to take if you suspect unauthorized access, along with changing your password.
Frequently Asked Questions
How do I change my email address? You can't do that here; there is no self-service change yet. Contact support.
How do I change the language? In the “Settings” tab, pick the new language under Language and tap Save. The dashboard switches right away, and the language applies on every device you sign in on.
Why don't I see the “Settings” tab? It is not intended for staff members or system admins. Dark mode is available to everyone at the bottom of the account menu.
Where do I set the time zone for my location? Not here. The time zone under “Settings” is your personal one. The dashboard displays appointment times in the location's time zone.
I forgot my password. On the login page, there's “Forgot password” for that. Changing your password on this page requires your current password.
