View My Times and Log Additional Hours
View your recorded work hours by month, read the calendar with the daily timeline, add hours the calendar doesn't know and export your timesheet.
In the dashboard
- Menu
- Time tracking → My times
- Who
- Each person on the team can view their own time entries, whether they are a staff member, manager, or tenant admin. This page is only available if time tracking is enabled for the location. Works with every plan.
View My Times and Log Additional Hours
“My times” shows you your own work hours, month by month, and whether they've been approved. You'll find the page in the menu under Time tracking → My times. Depending on your role, it's located under /staff/time-tracking/my-times, /manager/time-tracking/my-times, or /tenantadmin/time-tracking/my-times. The page displays only your hours. As a manager, you can view the entire team's times under “Team times” (see “Review, Approve, and Export Team Times”).
The page only appears if time tracking is enabled for the location. If it's disabled, the entire menu group “Time tracking” is missing. A manager can enable it under “Set Up Time Tracking”.
Next to the title, a small help icon (“Your time records”) explains the page step by step: one month equals one pay period; times added later are only counted after approval.
Two Types of Times
How your page looks depends on how your location tracks your hours:
- From the calendar: You're paid by the hour, and your day runs from the first appointment to the last. This time is paid. The page then displays views Calendar and Entries, the Log extra time button, and the Timesheet (PDF) button.
- Clocked: You clock in and out (or your manager enters your times). The page then displays the table of entries directly.
For staff members with a fixed salary, Terminz does not derive hours from the calendar. You will see variant “Clocked”.
Select a Month and View the Total
At the top of the page, use the arrows (“Previous month”, “Next month”) to scroll through the months. “Current month” takes you back to the current month. Hours, calendars, entries, and timesheets always correspond to the month displayed there.
The card below summarizes the month: the Paid attendance in hours, “Recorded across … days”, and, if any, “… of it overtime”. The table of entries also includes the key figures Total work hours, Overtime, and Days worked.
If there are no times for the month, it shows “No hours recorded for this month yet.”
Pending or Rejected
Below the total, two notes indicate pending entries:
- “… entries are awaiting approval”: “The time is paid once your manager approves it.”
- “… entries were rejected”: “Read the reason and log the time again.” Use Dismiss notice to clear the notification.
If you tap one of the notifications, the page switches to view “Entries” and filters to show only those entries. A second tap removes the filter.
View “Calendar”
In the Calendar view, each day of the month gets a row with a band. All rows run on the same clock. The band represents your day: teal is time with appointments (“with customers”), and gray is the gaps in between (“Idle, unpaid”). Downtime is the time between two appointments. It appears in your timesheet but is not compensated. You are paid for the time spent at appointments. Days without work are marked as “off”. Column “Hrs” shows the hours of the day.
When you tap a row, a panel displays the day in detail (on a phone, it opens directly below the row):
- “… with customers and … idle.” If all hours were worked, it shows “Every hour was booked.”
- If you clocked in and the clock-in time differs from the calendar: “Your stamped time differs from the calendar by … min.”. If you didn't clock in, it shows “No clock times”.
- Times added later appear under “Added later”.
- An empty slot shows Log here. This opens “Log extra time” with the date, From, and To fields already filled in.
View “Entries” and the table
The Entries view shows “only clocked-in and added times. The calendar shows your entire month.” In the “Clocked” version, this is the only view. The table has columns for Date, Work Time, Reason (the type of entry, for example “Cleaning”, or where it came from), Break, Overtime, Tags, and Status. On a phone, these are displayed as cards.
The status is one of the following:
- Approved: Your manager has approved the time.
- Pending: awaiting approval.
- Rejected: rejected; next to it is “Reason: …”, which is what the manager specified.
- Draft: not yet submitted.
Possible sources for an entry include: “From the calendar”, “Clocked”, “Extra time”, “By the manager”, “CSV import”, and “Absence”.
Recording Overtime
The calendar does not include cleaning, preparation, or goods receipt. You must enter these yourself. This is only possible in variant “From the calendar”.
- Tap Log extra time at the top. Or tap Log here in the daily details; the date and times will already be filled in. “Log extra time” will open.
- Fill in the following:
- Type: Cleaning, preparation, receiving, training, team meeting, or other. The default is “Cleaning”.
- Date: the workday. A future date is not allowed. The default is today.
- From and To: Times. “To” must be after “From”; otherwise, the button remains grayed out. Default is 6:00 PM to 6:45 PM.
- Note: Short description, for example, “Preparation, cleanup, ordering supplies.” For “Other”, this is required—at least 3 characters: “For 'Other,' we need a short description.”
- Tap Log. After that, “Extra time logged” and “It is now waiting for approval.” will appear there. Use Cancel to close the dialog.
Your manager must approve the time before it is paid. Until then, it appears as “Pending” in the list and is counted as a pending entry at the top.
Export
- CSV export (in the “Entries” view) exports the times for the selected month. Afterward, “Export successful” and “Your times have been exported” will appear there.
- Timesheet (PDF) (only in the “From the calendar” view) creates the timesheet for the selected month.
Frequently Asked Questions
Why is “My times” missing from the menu? Time tracking is not enabled for this location. A manager can enable it under “Set Up Time Tracking”.
Why don't I see the “Log extra time” button? Your hours aren't imported from the calendar because you have a fixed salary or the location doesn't import hours from the calendar. In that case, you clock in and out manually.
Why isn't my retroactively entered time counted yet? It's awaiting approval from your manager. It won't be paid until then.
What should I do if an entry is rejected? Read the reason in the Status column, re-enter the time correctly, and tap Dismiss notice when you no longer need the note.
Why isn't idle time paid? You're paid for the time spent on appointments. Time between two appointments appears on your timesheet but isn't compensated.
