Running a stocktake and downloading the stocktake list

Once a year you count what is on the shelf. Terminz compares every number with the book stock, books the differences when you close, and creates the stocktake list for your tax advisor. Open the “Stocktake” page (/manager/products/stocktake) in Services → Products with the Stocktake button at the top right (only the icon on a phone). While a stocktake is running, the button carries an orange dot and reads “Stocktake in progress”.

The first time you open it, the guide “How the stocktake works” appears. Afterwards you open it with the signpost icon next to the title.

Starting the stocktake

With no stocktake running, the page shows the list of earlier stocktakes. If it is empty, it says “No stocktake yet”. Tap Start stocktake. Only one stocktake can run at a time. Above the count it says who started it and when: “Started by … on …. Counted in packs.”

Counting

Every size of every product has a row with the book stock (“per stock”) as a grey number.

• If the stock is right: tap the tick.
• If it differs: set the number with − and + or type it. The row then shows “2 fewer” or “3 more”, and “matches” when it agrees.
• Counted wrong: Take back count sets the row back to not counted.
• Finding a product: search by name, or scan the barcode with a scanner or the camera.
• All and Not counted switch between all rows and the ones still open.

A bar at the top shows progress (“12 of 40 counted”) and the differences with their value at cost (“2 differences, €14.50”). When everything is counted it says “Everything is counted. You can close the stocktake.” A product without a purchase price is marked “No purchase price” and is left out of the stock value.

Your count is saved with every tap. You can leave the page and keep counting later.

Closing

Tap Close stocktake (Finish on a phone). Terminz summarizes what will happen:

• how many differences are booked and what they are worth at cost,
• how many products are not counted: they keep their book stock,
• how many products have no purchase price and are missing from the stock value.

Anything sold after counting is kept. You confirm with “Close the stocktake?”. After that the stocktake can no longer be changed. Terminz reports “Stocktake closed” with the stock value on the count date.

Every difference is booked as a stock movement with the reason “Stocktake” and appears on the product's page.

Discarding

Discard stocktake deletes the count. Stock stays as it is. Terminz asks first (“The counts of 12 products will be lost.”).

The stocktake list

The list of stocktakes shows the “Count date”, how many were counted, the “Difference” and the “Stock value”. From the row menu you download every closed stocktake as Stocktake list (PDF) or Stocktake list (Excel), with the stock value on the count date. The list is meant for your tax advisor. You filter by date range.

Frequently asked questions

Can I correct the stocktake after closing it? Not in the stocktake. Correct individual products with Adjust stock and the reason “Correction”.

What happens to products I do not count? They keep their book stock; nothing is booked.

Why is a product missing from the stock value? It has no purchase price. Enter it on the product or book in a delivery with a price.
