Upload your legal notice, privacy policy, and terms of service
On this page, you can maintain the legal information for your location and the three texts that appear on your public page. You'll find them in the menu under Settings → Account & data → Legal (/manager/settings/legal).
This page applies to the location selected at the top of the dashboard. The templates are not a substitute for legal advice.
The checklist at the top
At the very top, a map indicates whether the required information is complete. It displays “Information is still missing” as long as something is missing; otherwise, it shows “Required details filled in”. Five points are checked:
- “Legal company name”: If the field is empty, the location's standard company name is used;
- “Address”: Street, ZIP code, and city must all be present;
- “Email address”;
- “Imprint”;
- “Privacy policy”.
Below each of the two text fields, it explains why they are still missing information: “No text saved yet.” or “These sections are still open: …”, with the headings that still contain a placeholder. According to the checklist, you risk receiving a warning letter if you do not include an imprint and a privacy policy.
Company Information
Section “Company details” contains the information that will be included in your legal notice and in the templates. It also appears in the footer of every email sent to customers on behalf of your location.
- Legal company name: the name, including the legal form, for example “Example Ltd”. If left blank, the standard company name applies.
- Represented by: only for GmbH, UG, or AG—the name of the management.
- VAT ID: Only if applicable. This pertains to the legal entity and applies to all of your locations.
- Register court and Register number: Only if there is an entry in the commercial register, for example “Amtsgericht Berlin” and “HRB 12345”.
Below that, a box labeled “Address, phone and email” shows what is currently listed there, or “No address on file yet” and “No email on file yet”. Do not change these three entries here; instead, use the link Edit in Address & contact (see “Enter Address and Contact Information”).
Legal Texts
Section “Legal texts” has three text fields, each with a status indicator:
- Imprint (Required under § 5 DDG): Must specify the responsible person or company, address, contact information, and, if applicable, registration number and VAT ID.
- Privacy policy (Required under Art. 13 of the GDPR): explains what data you collect, why, how long you store it, and what rights your customers have.
- Terms & conditions (Optional): Rules regarding booking, cancellation, and payment.
The status is displayed as “Required” (Legal Notice and Privacy Policy, as long as they are empty), “Recommended” (Terms and Conditions, as long as they are empty), “In place”, or “… blanks left”.
Insert template: Below each text field, this button fills the field with a pre-filled template. It uses the company data exactly as it appears in the form at that moment, even if it hasn't been saved yet. If there is already text in the field, Terminz prompts you at “Replace the text with the template?”, and any text you've written yourself will be lost in the process.
Filling in placeholders: Where information is missing in the template, it says “[Please fill in],” highlighted in red. Go to next blank jumps to the next placeholder. If there's a field in the company data for the information above, enter it there and save; it will then be automatically added to the text. For information for which there is no field, type it directly into the text.
Preview: Use Preview to view the text with headings and paragraphs as visitors will see it; use Edit to return to the text field. The text fields recognize headings with ## and ###.
Update the Privacy Policy
If the template has been expanded in the meantime, a note above the text field will indicate that your privacy policy does not yet mention the stamp card and campaign statistics. Update from template replaces only the sections “Direct Marketing” and “Loyalty Program (Stamp Card)”; everything else in the text remains unchanged. The numbers after that will increment, and your public page will display the new version immediately. The button is disabled as long as you have unsaved changes. It will then read: “Save or discard your changes to the legal texts first.”
If you've rewritten the text so extensively that the new sections can't be inserted reliably, the process won't work automatically. In that case, reinsert the template and then apply your additions again.
Saving
As soon as you make a change, the bar “You have unsaved changes” appears at the bottom with Save and Discard. When you save, the three text sections are saved first, followed by the company information. After that, it will show “Legal information saved”. An empty field deletes the text.
What Visitors See
The legal notice, privacy policy, and terms of service appear on your public page as soon as it's published. Text that still says “[Please fill in]” won't be displayed to visitors. Additionally, you can't publish a public page with an incomplete legal notice.
Frequently Asked Questions
Where do I enter my street address, phone number, and email for the legal notice? Not here, but under Settings → Location → Address & Contact. Here, you can only see what's already entered there.
Do I have to include Terms and Conditions? No, they're optional. The legal notice and privacy policy are required.
Why does my text still say “[Please fill in]”? The template didn't recognize that information. Enter it in the company details and save, or type it directly into the text.
Does the template replace legal advice? No. It just fills in your company information—nothing more.
