Services
Create resources, assign services, and block them
Here's how to create rooms, chairs, and equipment as resources, set the concurrent capacity, assign services to the resource, and block it for a period of time.
In the dashboard
- Menu
- Services → Resources
- Who
- Managers with the “Manage Resources” permission. Works with every plan.
Create resources, assign services, and block them
A resource is a room, a chair, or a piece of equipment. You can find it in the menu under Services → Resources (/manager/resources).
Important to note: A resource alone does not affect the calendar. Only when you assign it to a service will each booking for that service occupy the resource, and a time slot becomes unavailable as soon as it is occupied. A service without an assigned resource is never limited by equipment availability. A small help icon (“How resources shape bookability”) next to the title explains this again.
The page has two tabs: Resources and Assignment. The “Assignment” tab can also be accessed via /manager/resources?tab=assignment.
Tab “Resources”
At the top are five numbers: “Total resources”, “Different types”, “Available resources”, “In maintenance”, and “Service assignments”. The list has the following columns: Resource, Type, Status, Parallel Capacity, and Services. You can filter by “Type” and “Status”. If the list is empty, it will show “Add your first resource to get started.”; if you filter too narrowly, it will show “No resources found. Try different filters.”
In the row menu, you'll find Details (opens “Resource details” with location, parallel capacity, and the assigned services), Edit, Block, and Delete.
Create a Resource
- Tap Add resource in the upper-right corner. “Create new resource” opens.
- Fill in the following:
- Use template (optional): Automatically populates the name, type, and description from a template for your industry.
- Name: Required, at least 2 characters (otherwise “Name too short”). Example: “Treatment table.”
- Type: Required. Choose from Room, Equipment, Furniture, Tools, Facility, Vehicle, Software, or Other.
- How many (usable at the same time): Parallel capacity, minimum 1, maximum 99. This is the number of appointments that can use the resource at the same time. Four identical manicure tables are one resource with a capacity of 4, not four separate resources. Enter only the actual number: If the number is too high, appointments will be double-booked. A line below the field shows an example for 10:00 a.m.
- Status: Available, In Use, Maintenance, Out of Service, Reserved, or Decommissioned. If the status is set to Maintenance, Out of Service, or Decommissioned, the resource cannot be booked and is immediately removed from all available time slots. You can only change the status if there are no future bookings.
- Where at your location: Free text, example “e.g. Room 2, upstairs”.
- Description: Free text.
- Tap Create resource. After that, “Resource created” will appear there. To change it, select Edit from the row menu and save with Update resource.
Tab “Assignment”
Here you specify which service each resource requires. The resources are listed on the left (“Tap to select, drag to assign”), and the services on the right. You can search for a service (“Search services…”) and switch between “All” and “Open”. At the top, “Coverage” shows how many services a resource already has; if all are allocated, it displays “All services covered”.
- On a computer, drag a service onto a resource or select the resource and tap the services.
- On a phone, tap a resource, then tap the services it needs. Use “Change resource” to switch resources.
- “Add resource” on a service selects a resource directly; “Remove” cancels the assignment.
Changes aren't saved until you tap Save in the bar at the bottom (which might say, for example, “2 unsaved changes”).
Blocking a Resource
If a device is out of service or a room is occupied, this should be entered in the calendar as a block with a time period, not as a deleted resource. In the row menu, tap Block to open “Block resource”:
- Resource/Room: Which resource.
- Block type: Maintenance, Cleaning, Repair, Reserved, Private Event, Renovation, or Other.
- Date, then either “All day” or a “Time window” with From and To.
- Note (optional): Description for your team.
- Notify affected customers: Send an email to customers whose appointments use this resource.
Terminz checks the time period, displays conflicts with existing bookings, and shows the affected appointments. For each affected appointment, select an alternative at “Choose action:”: assign a different resource (the appointment retains its status) or reschedule (the appointment is marked as “Rescheduled”). If there is no alternative, the appointment is automatically marked as “Rescheduled”. Click Create block to save.
Archiving and permanently deleting
Delete in the row menu opens “Permanently delete resource”. This action cannot be undone: All assignments to services will be removed, and the resource data will be permanently deleted. You must confirm the deletion. Afterward, the message “Resource '<Name>' has been successfully deleted” will appear. If you only want to temporarily remove a resource from the schedule, set its status to “Retired” or block it.
Frequently Asked Questions
Why do appointments disappear even though no one has booked them? Because the resource is assigned to a service and is booked. Check the capacity and the assignment.
Do I even need resources? No. A service without an assigned resource is never limited by equipment.
How do I represent four identical chairs? A “Chair” resource with “How many (usable at the same time)” 4.
