Set up a loyalty card (stamp card)

With the stamp card, regular customers receive a bonus without anyone having to enter a code or do any calculations. Each completed appointment fills a box on the card, and when the last box is filled, Terminz automatically applies the bonus. You can find the page in the menu under Marketing & website → Win customers back → Loyalty program (/manager/marketing/loyalty). The menu item is labeled “Loyalty program”; the cards themselves are labeled “Stamp card”.

A location has a loyalty program. The settings apply to the location selected at the top of the dashboard.

How the Card Works

  • A stamp after the appointment: Each completed appointment earns a stamp. Cancellations and “No-show” never count.
  • The bonus on the next booking: If the card is just one stamp away from being full, Terminz automatically deducts the bonus on the Nth appointment, whether online or at the register. After that, the card starts over.
  • Your team has the last word: During the appointment, your team can waive the bonus (“Don't redeem bonus”). It will then carry over to the next visit.
  • Paper cards: Appointments before the start date and imported appointments do not count. You must manually enter stamps from a paper card into the customer file.

The bonus is applied after a promotion and a discount code (see “Create a promotion for services” and “Create, Limit, and Manage Discount Codes”) and is never higher than the remaining balance.

Settings

The Program active toggle is located at the top. As long as it's off, no one collects stamps and no bonus is deducted. Stamps already collected are retained. On the right (below on mobile), a preview shows a sample card with a message as customers see it (“3 more appointments until a €10.00 bonus”) and a line indicating whether the card is enabled.

In the “Stamp card” section, you set the following:

  • Spaces on the card: A number between 2 and 50; default is 10. Each completed appointment fills one field; the last field is the bonus.
  • Reward: First the type, Amount or Percentage, then the amount. For “Amount”, a fixed euro amount (default €10.00) greater than 0; for “Percentage”, an integer from 1 to 100. A fixed amount costs the same for every service, while a percentage increases with the price. One row shows an example of an appointment for €45.00.
  • Redeemable for: Number of days from 1 to 3650 during which the earned bonus can be redeemed. The default is “No time limit”; in this case, the bonus remains valid until it is redeemed. Use Set a time limit to set a time limit (default is 180 days), and use Remove time limit to remove it. The stamps themselves never expire.
  • Counts from: Date. Only appointments completed on or after this date earn stamps. Previous visits and imported appointments never count. If you leave the field blank (“From switching on”), the date used is the day you activate the card, based on the time zone of your location.
  • Text for the booking page: A short text of up to 120 characters that appears on your booking page. Suggestion: “Every 10th appointment: €10.00 bonus.” Leave the field blank if you don't want to promote the card.

Changes won't take effect until you tap Save in the bar at the bottom (“You have unsaved changes”). If a value is incorrect, a message will appear there directing you to the relevant field (“2 to 50 spaces”, “Bonus missing”, “Time limit missing”), and the “Save” button will be disabled.

Where the card appears

The page itself specifies where the setting takes effect: customer account, booking page, checkout, receipt, and emails to customers. Customers can see how full their card is in their account, during booking, and in the confirmation.

In the customer file

In a customer's file (Customer List → Customer), the card appears as tab “Stamp card” with “3 of 10” and the fields.

  • Add stamps: for stamps from a paper card or from before Terminz. You select “Number of stamps” (1 to 50), can add a note (for example, “Paper card transferred”), and confirm with “Add N stamps.” Terminz keeps track of who added how many.
  • Record objection: Anyone who disputes the stamp card will no longer collect stamps. Any outstanding bonus expires—even if it's already reserved for an appointment—and the card resets to 0. With Include again, the person starts collecting again from 0; previous stamps are not reinstated. Only readmit someone once the objection has been withdrawn.

Medical Practices and Clinics

There is no stamp card for medical practices: “How often someone visits a practice is considered health data.” Instead of the settings, “No stamp card for practices” appears there, and no stamp card appears on the booking page or in the customer account.

Privacy Policy

If your location's privacy policy does not yet mention the stamp card, a note with Update from template will appear at the top of the page. This simply inserts the “Loyalty Program (Stamp Card)” (and “Direct Marketing”) sections from the current template; the rest of your text remains unchanged. If your text has been rewritten too extensively, this won't happen automatically, and you'll need to reinsert the template under “Legal Information” (see “Upload your legal notice, privacy policy, and terms of service”).

Old Points Program

If a location still uses the previous points program, the selection “Which program runs” appears at the very top with two cards: Stamp card: every Nth appointment and “Points per euro” (“Your previous program with points and tiers”). For the points program, set Points per euro (at least 0.1) and the thresholds Silver threshold, Gold threshold, and Platinum threshold. They must be in ascending order; otherwise, Terminz will refuse to save the changes. Points cannot be redeemed. New locations won't see this selection; they'll start with the stamp card. The Bronze threshold and welcome points cannot be set on this page.

Frequently Asked Questions

Why am I not getting a stamp for a visit? Check to see if the appointment is complete, if the date is within “Counts from”, and if it is not an imported appointment. Cancellations and “No-show” never count.

Can I withdraw a bonus for an appointment? Yes, in the appointment with “Don't redeem bonus”. The bonus is deducted from this appointment and remains available for the next visit.
