Availability: change work hours, request time off
Here's how you, as a staff member, can change your weekly work hours, request vacation or sick leave, view the status of your requests, and cancel a request.
In the dashboard
- Menu
- Availability
- Who
- Each staff member manages their own information. You can only view and edit your own times and requests. Works with any plan.
Availability: Change Your Own Work Hours and Request Time Off (Staff member)
The Availability (/staff/availability) page is located in the main menu. It has two sections one below the other: Weekly schedule (“Your regular working hours”) and Time off (“Vacation requests and free days”). Managers set work schedules for their team elsewhere (see “Create, edit, assign, and deactivate staff members” and “Reading the Weekly Schedule”). This page is your personal access point.
If your account is not assigned to a staff member profile, “Staff data not found” will appear at the top with a prompt to log in again. If the page fails to load, “Error loading availability” and the Try again button will appear.
Change Weekly Schedule
The card shows seven rows, Monday through Sunday. A day when you work is marked with “From” – “To”. A day off is marked with “Not available”.
- Tap Edit. The rows turn into sliders.
- Use the toggle to the left of the day of the week to set whether you're working that day. If you enable a day that doesn't yet have a time set, the page defaults to 9:00 AM to 5:00 PM.
- For a workday, set the times in From and To.
- A bar with Save and Cancel floats at the bottom. Clicking “Cancel” discards your changes and restores the saved schedule.
If the end time isn't after the start time, “End must be after the start” appears below the line and the field turns red. You can't enter breaks on this page. If your manager has scheduled a break for you, it will remain unchanged when you save.
When you save, the following happens:
- Your previous times are replaced. The change runs in the background, so it won't be visible everywhere immediately after saving.
- If a workday falls outside the location's business hours or on a day when the location is closed, the page saves nothing and names the day in an error message. Adjust the times or ask your manager to change the business hours (see “Opening hours” and “Booking rules”).
- The save button stays busy until the new times are actually stored. This usually takes a second or two.
- Appointments for the next 90 days (pending, confirmed, or marked for rescheduling) that no longer fall within your new hours after the change will be marked as “to be rescheduled.” Your manager will then see them for rescheduling. You can only be booked online during your new hours.
Requesting Time Off
Under Time off, tap Request. “Request time off” (“Vacation request or absence”) will open.
| Field | What to enter |
|---|---|
| From Date | First available day. The calendar won't let you select dates earlier than today. |
| To Date | Last available day. It cannot be before the first day. The same day is allowed (an available day). |
| Reason | Required field: Vacation, Sick leave, Personal reasons, Training, or Other. |
| Additional Notes (optional) | Free text for your manager. |
The Submit request button remains grayed out until both dates and a reason have been selected. The note Approval process in the window indicates that your request will be sent to your manager. You can then view the status in the list. Terminz does not send an email regarding the decision.
The request applies to full calendar days. It is created with the status Pending and appears under “Requests” in your manager's view (see “Requests”). It blocks your availability for online bookings as soon as the request is submitted—not just after approval.
The request will be denied if:
- the first day falls before today (the date at the location is decisive). A request starting today is therefore acceptable, for example, for a sick day.
- the time period overlaps with a request that is still pending or has been approved.
Rejected and canceled requests do not count toward the overlap.
The List of Absences
Requests are sorted into two groups: Upcoming (ending today or later, earliest first) and Past (most recent first). To the right of the group name, you'll see how many days have been approved (“3 days approved”). Each row shows the date, number of days, reason, and status:
- Pending: awaiting your manager's approval.
- Approved (“Approved by …” with name and date).
- Rejected (“Rejected by …”). The manager's reason is listed below.
- Canceled.
Your own notes appear as a gray row below the entry. If there are no requests, it shows “No time off planned”.
Cancel a Request
If Pending and Approved are present, Cancel appears in the row. It asks “Cancel time off”: “Are you sure you want to cancel this time off request?”. Selecting Cancel it cancels the request, and your time slots become available again. You can also use this to cancel an absence that has already been approved. Your note will be replaced by “Canceled by staff”. Rejected and canceled requests no longer have a button. If it doesn't work, “Error canceling time off” will appear there.
Frequently Asked Questions
Saving shows an error message with a weekday. That day is outside the location's business hours, or the location is closed on that day. Nothing was saved. Change the times for that day or ask your manager to adjust the business hours.
Where do I enter a break? Not on this page at all. Your manager sets your breaks for you.
Can I enter vacation time retroactively? No. The site does not accept past dates. In that case, talk to your manager.
Who decides on the request? A manager at the location in the “Requests”. You won't receive an email about this; check the list.
