Creating and Ending Recurring Appointments
Here's how to create a series of appointments—for example, the same time each week for the same person—check for conflicts before booking, and end the series.
In the dashboard
- Menu
- Appointments → Recurring appointments
- Who
- Managers with the “Create and edit appointments, and after a confirmation also across buffer, break and working hours” permission. Works in every plan.
A series is for people who come regularly: every Tuesday at 10 a.m., every four weeks for a trim. You set up the schedule once, and all appointments appear in the calendar at once.
The List
Open Appointments → Recurring appointments in the menu. For each series, the list shows the customer, the Rhythm (for example, “Weekly, Tue” or “Every 4 Weeks, Mon”), the Next appointment, and how many appointments are left. Use the filter Running to hide completed series. If the list is empty, it will show “No series yet” and instructions on how to get started.
How to Create a Series
- Tap New series. The wizard “New recurring appointment series” has four steps: Details, Pattern, Preview, Confirm. Use Back to go back one step; in the first step, use Cancel to go to the list.
- Details. Select Customer, Service (use Search service… to find them; you can check additional options), and one or more people in Staff pool. If you select multiple people, Terminz automatically assigns the first available person to each appointment. You cannot proceed without selecting a person (“Select at least one staff member.”). The duration is determined by the service; the Total duration is listed below.
- Template. Here you specify:
| Field | Selection |
|---|---|
| Time | Start time for each appointment, default 09:00 |
| How often? | Daily, Weekly, or Monthly |
| Every | Interval: every 1, 2, 3 … days, weeks, or months |
| Mon to Sun | For weekly appointments, the days of the week; at least one must be selected, default is Monday |
| Day of month | For monthly, the day of the month on which the appointment falls, with “of the month” |
| Start date | The first possible day |
| Ends | On date with End date or After N occurrences with Number of occurrences (default 10) |
| Notes (optional) | Free text for the series |
- Preview. Tap Check conflicts. Terminz displays each individual appointment with the result available, Slot taken, Holiday, or “Validation failed”. For each conflict, select Skip or a free alternative; if none is available, “No free slot — please skip” will appear there. All conflicts must be resolved before you can continue (“All conflicts must be resolved before you can continue.”). Use Undo to undo a decision.
- Confirm. Summary with customer, frequency, time, duration, and the number of appointments: “Will be created”. Tap Create. “Series created” appears.
If an appointment in the series falls during a buffer, a break, or outside of working or business hours, “Needs confirmation” will appear there. Use Book anyway (or “Book all … anyway” to apply to all at once) to override the rule for these appointments. Vacations, holidays, and actual schedule conflicts cannot be overridden.
If something was no longer available when creating the series
Between the preview and creation, someone else may have booked an appointment. In that case, the message “Series created, 2 appointments not booked” appears at the top, along with a list of the affected days marked with “No longer free”. The remaining appointments are booked. If needed, you can book the missing days individually in the calendar. If nothing was booked, “No appointment booked” appears there.
Ending a Series
Tap End series in the list. The confirmation prompt “End …'s series?” indicates how many upcoming appointments will be canceled; those that have already passed remain unchanged. The notification toggle only works if the person receives emails from you. Afterward, it says “Series ended, 5 appointments canceled,” and the series has the status Ended.
You can reschedule a single appointment in a series in the calendar; the series remains intact, and the change applies only to that specific appointment. In the appointment list, it is marked as “Recurring appointment”.
