Find, check and void gift cards

Every gift card your location has sold is listed here. Selling and redeeming are covered under Payments.

The list

In the menu, open Financials → Daily → Gift cards. Each row shows the code by its last four characters, the buyer below it (or “No name”), the Balance with the original Value, the status, Valid until and Sold on.

The statuses:

• Active: still has a balance and has not expired.
• Redeemed: fully used up.
• Expired: the “Valid until” date has passed.
• Voided: taken back, the money was returned.

At the top you filter by status. Sell gift card sells a new one right from here.

Finding a gift card

Type into the search field:

• the last characters of the code, with or without dashes, for example 9P21;
• the dedication entered at the sale;
• the buyer's name, as the list shows it.

If the buyer has not shared their profile with your company, they appear as first name and initial (“Lena S.”), and that is the only way to find them. The search does not know the full last name then.

Balance and history

Tap a row to open the gift card: the full code, a bar showing the balance and the sentence “… left of …”. Below are the buyer, the dedication and where and when it was sold.

The History lists every entry with amount, location, date and receipt number: Sold, Redeemed and Voided. If the gift card was redeemed at another location of your company, that location is named in the row.

While it is active:

• Show QR code opens the gift card's QR code. Scanned, it shows the code and the balance on the phone.
• Email to buyer sends the gift card again if the buyer has an email address and has allowed emails. Otherwise Terminz says why not.

Voiding a gift card

You can only void a gift card while none of it has been redeemed. Tap Void gift card, enter the Reason and confirm with Void.

The gift card stops working right away. The amount goes back the way it was paid at the sale, and a cancellation receipt is created. Its number appears in the message and in the history. A gift card paid in cash takes the money out of the till, so it has to be there.

If some of it has been redeemed, the button is replaced by “Already redeemed. A gift card can only be voided while none of it has been spent.” A partly used gift card can only run out.

Frequently asked questions

Why is there no button to void? Either the gift card is partly used, expired or voided already, or you lack the “Manage the cash drawer” permission. Ask your location's owner.

Can I extend a gift card or change its amount? No. Void it while it is unused and sell a new one.

Do I see gift cards from my other locations? The list shows the gift cards this location sold. Switch location to see the others.
